This Privacy Policy explains how Venue Portal collects, uses, and protects information when you use our platform — whether you're a venue owner, promoter, or visitor. We keep it simple because that's how we operate.

Information We Collect

From promoters / booking inquiries:

  • Name and email address submitted with a booking inquiry
  • Event details — date, estimated guest count, event description
  • Payment confirmation data returned from Stripe after deposit payment

From venue owners:

  • Name, email address, and account credentials
  • Stripe Connect account details (handled directly by Stripe — we store only your connected account ID)
  • Venue details you provide during onboarding

Automatically collected:

  • Basic request logs (IP address, browser type, pages visited) for platform security and debugging — not used for advertising

How We Use Your Information

We use the information we collect to operate the platform. That means:

  • Routing booking inquiries to the correct venue owner
  • Sending payment links and booking confirmation emails to promoters
  • Sending welcome and account setup emails to venue owners
  • Processing payments through Stripe and recording transaction status
  • Maintaining booking records for both parties

We do not sell your data, share it with advertisers, or use it for any purpose unrelated to operating the Venue Portal platform.

Payments & Stripe

All payment processing is handled by Stripe. Venue Portal does not collect, store, or process credit card or banking information directly. When you pay a booking deposit, you are interacting with Stripe's secure checkout infrastructure.

Venue owners connect their Stripe accounts through Stripe Connect. We store your Stripe connected account ID to route payouts correctly. All financial data is governed by Stripe's Privacy Policy (stripe.com/privacy).

Platform fee: A $50 flat platform fee is applied to each confirmed booking. This is deducted automatically via Stripe's application fee system — transparent and disclosed at the time of payment.

Email Communications

Venue Portal sends transactional emails through Resend. These include:

  • Booking inquiry confirmations to promoters
  • Payment link emails when a venue accepts an inquiry
  • Booking confirmed / cancelled notifications
  • Account welcome emails for venue owners

We do not send marketing emails without your explicit opt-in. All transactional emails are sent from noreply@venueportal.us.

Data Storage & Security

Venue Portal's backend runs on Cloudflare Workers and D1 — a serverless, edge-deployed infrastructure with enterprise-grade security. Your data is stored in a managed SQLite database and is not stored on any third-party servers we control outside of Cloudflare's infrastructure.

Passwords for venue owner accounts are hashed — we never store plain-text passwords. Auth sessions are managed via signed JWT tokens with expiry.

While we implement reasonable security measures, no system is 100% impenetrable. If you believe your account has been compromised, contact us immediately.

Third-Party Services

Venue Portal integrates with the following third-party services. Each has its own privacy policy governing their data use:

  • Stripe — payment processing and Stripe Connect (stripe.com/privacy)
  • Resend — transactional email delivery (resend.com/privacy)
  • Cloudflare — hosting, DNS, and edge infrastructure (cloudflare.com/privacypolicy)
  • Google Fonts — font delivery (fonts.google.com)

We do not integrate with any advertising networks or analytics platforms that track users across sites.

Your Rights

You have the right to:

  • Request a copy of the personal data we hold about you
  • Request deletion of your data (subject to any legal or payment record obligations)
  • Correct inaccurate information associated with your account
  • Opt out of any non-transactional communications

Cookies

Venue Portal does not use tracking cookies or advertising cookies. We use browser localStorage only to maintain your login session (storing your JWT token locally so you stay logged in). This data does not leave your device and is not accessible to third parties.

No cookie consent banners. No tracking pixels. No retargeting.

Changes to This Policy

If we make material changes to this policy, we will update the "Last updated" date at the top and, where appropriate, notify venue owners via email. Continued use of the platform after changes constitutes acceptance of the updated policy.

We will never change this policy in a way that compromises your data without giving you notice and, where required, your consent.
